Bottlenecks on our end which we have/are address(ed/ing)

Hi everyone, Just an update on the bottlenecks from the start of the season and how we are adapting in the future to avoid them.

First and foremost is the registration process and collecting team fees. The City requires us to pay for the rentals a month in advance at the very minimum for rentals. This was a huge bottle neck for us this year in collecting the fees. As a result, for the future we have discussed it and scheduled it in our system to have a “Super Early Bird Discount” which will be emailed out to our list on August 5th. Those who register before August 23rd, 2024 will receive a 20% discount for team fees. On August 24th, 2024 an email has been scheduled to go out for an “Early Bird Discount” which will run until September 13th, 2024 for a 10% discount. (Please note that these discounts cannot be combined with our sibling discount pricing, it’s one or the other.) Our first practice for next year will be on October 2, 2024. 

We are hoping that this will give incentive for families to pay on time and have the dates in their calendar well in advance. 

As many of you may or may not know, Matt and I work in seasonal construction so that we are able to have enough time off in the winter months to run this program and other school programs in Calgary on a voluntary basis. I recognize that I have not been as responsive as I would like to be in a timely manner with our communications. To help with that James and Matt will be helping with the communications. A lot of times we try to (and will definitely have once the season starts next week) have all of the updates or any relevant  FAQ posted on our social website. In addition to that, once I officially have my lay off for the winter season, I will be putting out a weekly podcast for parents and athletes like a weekly newsletter. We have had some good feedback on the idea of it so far and are excited to implement it. The podcast is live on Apple Podcasts and Spotify. The name of the podcast is “The Spartan Wrestling Show” for anyone who is interested. Again, once I am officially laid off I will be figuring out how to transcribe those episodes and posting them into our social website for those who prefer to read.

Lastly, our registration process was broken and not set up the way I had intended it. The problem was that it was supposed to take all the email addresses that registered and send them a follow up letter as well as add them to a mailing list. I think I have identified the problem and that should be fixed by this weekend. If you are receiving this letter and have not received the welcome letter yet, I have entered  your email address manually and am sending out this email so everyone can get it in a timely manner. Tomorrow I will be manually sending out the welcome letters. So again, my apologies with the speed bumps as we get started here. We have tried our best to identify our shortcomings this year as it is our first official season back from COVID and improve for the future so parents, athletes and volunteers all have a smooth start to the season.
