Start Date Update

Hey Team,

Sorry for the delayed email. With the pending strike I wanted to hold off in hope that it would not affect us. Sadly it will. Our North Program will be delayed in its start date until October 15th.  And I will send a confirmation on the 13th that this is still an achievable start date.

FAQ Attendance: Do you need to email us if your athlete is not going to be at a practice? 

No, this is not needed unless the athlete is injured. If it is a weigh in practice for a tournament, attendance is mandatory to attend the event. 

AAWA Membership

They have not updated their portal for our club membership yet, Heather at AAWA has reached out to 2M on Thursday (Oct. 2) to get this resolved. Hopefully it should be early this week. 

When it does come through I will send out the Emergency contact forms and collect the numbers on that form so it is all in one place this season. 

NOTE: Please do not sign up for it until I send out the link. Two issues could arise: 

Issue 1: You will sign up for last year’s membership and be double charged. We will not be covering these charges from the club funds. All charges will be passed onto the athlete.

Issue 2: You will be selecting “Independent” and be charged later down the road at tournaments when they cannot find your name and number under our club registration. Again, we will not be paying these bills this year. All additional charges will be passed on to the athletes which could lead to a double charge. 

Events Standard of Procedure

Camps

Camps we do not typically organize as a team. Athletes are responsible to sign up for camps and clinics on their own. We will send out these flyers to let athletes know of the opportunities. I have also added them to our calendar on the circle app. 

If you are looking for camps to attend you can find a database on www.wrestlingtournaments.ca based on age and location. 

Tournaments

Tournaments are signed up by the club, not the individual. Please do not sign up your own athlete to tournaments. Again this could lead to a double charge. 

I have created a google form for each tournament that we will be attending. I will be attaching them to the Calendar app in Circle as well as our Spartanwrestling.ca website calendar. 

I have set up template emails to go out on Sundays with upcoming registration and payment deadlines each week for the tournaments we plan on attending. This year to avoid confusion I will try my best to keep an updated list of which athletes have signed up for each event as I know for parents and athletes it is hard to keep track of what you have signed up for and what you have not yet filled out the form for. 

I know I place a weight class on the forms. We will double check the weights closer to the date as we know athletes grow like weeds sometimes throughout the year. 

Please note that if an athlete does not attend a weigh in we will not register them for the event. 

Spartan Super Saturdays

This season we will have some guests from out of town joining our Spartan Super Saturdays to help build our community. So far Westsiders from Vancouver, Edson Gladiators and Medicine Hat WC have confirmed coming to one each. These clinics are closed to the public and I have only invited teams that I believe would benefit our athletes. 

Tournament Dates:

I have created a text based schedule of dates for camps and tournaments that I will email out this week. They are already on our blog if you’re curious about your athletes’ specific age group. https://spartanwrestling.ca/blog/ 

I am also working on a chart to include the registration form link, Registration deadline, Weigh in date as well as other pertinent information for each age group that I hope to finish up later this week. I will email this out, put it on the circle app, and in the blog.

Communication moving forward:

Once we get into the season here, the primary mode of communication will be through posts on the circle app. This is our digital bulletin board. It is very easy for me to get a message out to everyone quickly through this. I do try to post on Instagram as it is easy for me to do on the go if something comes up while I am at work. Email becomes difficult as the season goes forward as I do not have my laptop on me very often. Please start the habit of checking the circle app before practice each day to stay up to date. 

Thank you for your understanding of these methods. The coaches are all volunteers and we have full time work of school commitments on top of 20-40 hours of wrestling practices and events each week. 

Invoices:

Just a friendly reminder that I have sent out all of the invoices except for the “one month trials”, which I will send tonight. We have not received payment from everyone yet. If you need me to resend the invoice please just let me know. Please include your athletes name and that is how I have it organized in my notes.

I am still getting through my unread emails. I hope that this answers everyone’s questions. If not I will be sitting down Tuesday morning to clear my inbox for remaining questions.
